What it is

Motion is an AI-powered planning app. Rather than just booking meetings, it auto-schedules your tasks, meetings, and projects directly into your calendar, deciding when each piece of work should happen based on what else is already on your schedule. You give it your tasks and deadlines, and it slots them into open time alongside your meetings, adjusting the plan automatically as things change.

That makes it a broader tool than a booking page. Where a scheduling link only solves "let someone else pick a time to meet me," Motion is trying to solve "when does everything, meetings and tasks together, actually happen." It connects to Google Calendar, Outlook, Zoom, Google Meet, and Microsoft Teams, so it can see and manage a calendar built on any of the common platforms.

Who it's for (and who it isn't)

Motion fits people whose problem isn't just booking meetings but managing a full day or week that mixes meetings, deadlines, and project work, and who want the calendar to reorganize itself when priorities shift rather than doing that manually. Because it integrates with both major calendar systems (Google Calendar, Outlook) and the main video-call platforms (Zoom, Google Meet, Microsoft Teams), it can sit on top of most existing setups.

It isn't the right tool if all you need is a simple booking page for people to schedule a call with you. That's a narrower, cheaper problem, and a dedicated scheduling tool like Calendly solves it more directly, without asking you to hand over your whole task list to an AI planner. Motion is also a paid product with no free tier, so it's a real commitment rather than something to keep running for free indefinitely.

Pricing

Motion is paid only, there's no free plan. Pricing starts from $19 per seat, per month, for the Pro AI tier on monthly billing. Annual billing saves 33%, though the exact discounted rate isn't published on-site. There is a free trial and it doesn't require a credit card to start, so you can test the auto-scheduling behavior before paying anything.

Set it up

Official guide: 2 Minutes Quick start

  1. On a desktop browser, go to usemotion.com and click "Try Motion for Free". The free trial needs no credit card, and the Pro AI plan is from $19/seat/mo after it. Sign in with Google, Microsoft, Apple or an email and password, then answer the setup questions. You now have a Motion account.
  2. Connect your calendar, Google Calendar or Outlook, and allow access when asked. Motion works with one main calendar, which for Google and Outlook is the primary calendar of your account. With a work account, your organization's admin may have to allow Motion first. Motion now sees your existing meetings.
  3. Tell Motion when you work. Click the gear icon in the left sidebar to open "Settings", select "Schedules", and click "+ New schedule". Name it, drag across the days and times you are available, and save. Motion now uses these hours when it places your tasks.
  4. Add your real tasks. Click the blue "+ New" button, select "New Task", and type what you need to get done. Enter the duration (how long it takes), the deadline, and a priority (ASAP, High, Medium or Low), then click "Save task". Motion now has your task and plans it for you.
  5. Open your calendar to see where Motion put each task between your meetings. If a task sits in the wrong place, open it and change its duration, deadline or priority. Motion now plans it again and the task moves.
  6. To see your tasks in your Google or Outlook calendar as well, open "Settings", select "Auto-scheduling", and find "Show tasks on Google & Outlook calendars?". Choose "Show tasks but keep as free" so the tasks appear there without blocking off time. Your tasks now appear in that calendar as free time.

When this works, your tasks sit on your calendar between your meetings, inside the working hours you set, and Motion moves them when your day changes. To use it for your own work, add the tasks you actually have this week.

Strengths and limitations

The strength is scope: Motion handles meetings and tasks in the same system, using AI to fit both into your actual calendar instead of leaving task planning as a separate, manual step. The breadth of its integrations, covering both major calendar providers and three video platforms, means it can plug into most existing meeting setups without forcing a switch.

The limitation is that this scope comes at a real, ongoing cost with no free tier to fall back on, unlike simpler scheduling tools. It's also a bigger behavioral commitment: letting an AI auto-schedule your tasks means trusting its judgment on prioritization, which is a different kind of buy-in than just sharing a booking link. If your actual need is narrower, just letting people book time with you, Motion is more tool than the problem calls for, and a simpler scheduling app will get you there for less. The free trial without a credit card requirement at least lowers the risk of finding that out, since you can see whether the auto-scheduling actually fits how you work before paying for a seat.
