Chase unpaid invoices automatically
Following up on late payments is uncomfortable and easy to postpone, so invoices sit unpaid far longer than the terms allow.
Tools worth considering

The problem
Chasing money is the task everyone in a small business postpones. It feels confrontational, it interrupts the relationship, and there is always something more pleasant to do first. So the invoice that was due on the 14th gets mentioned in passing on the 30th, if at all, and the business quietly finances its customers.
Two different problems hide under one heading. For invoices sent to people, the issue is usually forgetting: the invoice arrived during a busy week and slipped down the inbox. For recurring card payments, the issue is mechanical: the card expired, the bank declined, and nobody was told. Both end the same way, with revenue you earned sitting outside your account, but the fixes are different.
What AI can actually do here
For invoices, the answer is scheduled follow-up. Automated payment reminders send a polite note a set number of days after the due date and keep going on a rhythm you decide. This is unglamorous and it works, because most late payment is inattention, and a reminder that arrives at the top of the inbox on the right morning gets paid.
For card-based subscriptions, the machinery is smarter. Failed charges are retried on a schedule, and tools like Stripe Billing use machine learning driven Smart Retries to choose the timing rather than retrying blindly. Alongside that, automatic reminder emails go to the customer, and a self-service portal lets them update the card themselves instead of emailing you a new number.
The honest limit: automation makes the follow-up consistent and unemotional, which removes your reluctance from the equation. It does not create willingness to pay. A customer in genuine difficulty needs a conversation and a payment arrangement, and no reminder sequence substitutes for that. Set the automation to stop at a point where a human takes over.
How the tools differ
Zoho Invoice includes automated payment reminders at no cost, within its limits of 2 users, 3 projects and 500 invoices per year. For a freelancer, that is the entire job solved for free.
Wave puts automated late payment reminders on its Pro plan at $19 per month or $190 per year. The free Starter plan gives you unlimited invoices but leaves the chasing to you, which is exactly the trade to think about: $19 a month against the invoices you will not follow up on.
FreshBooks has late payment reminders on every plan, starting at Lite for $23 per month with 5 billable clients, and pairs them with recurring invoices so both the sending and the chasing run on a schedule.
Stripe Billing is a different instrument for a different problem. It handles recurring card charges: Smart Retries on failed payments, automatic reminders, and a customer portal for self-service card updates. It is priced on billing volume, 0.7% pay-as-you-go, with committed tiers from EUR 500 per month. Use it if you run subscriptions, not to chase project invoices.
When you don't need a tool
If you have five clients and one of them is late, send the email. A tool cannot make that message better than a short, friendly, specific note from you, and setting up automation to avoid one uncomfortable message is procrastination wearing a productivity costume.
Before you automate, fix the terms. An invoice without a clear due date and payment method is hard to chase for a reason. Getting terms, a due date and a bank or card option onto the invoice often collects more money than any reminder sequence.
And if your late payments come from one large customer with a slow finance department, the fix is procedural rather than technical: find out their invoice submission process, get a purchase order reference on the invoice, and learn their payment run dates. Reminders that miss the payment run change nothing.

Frequently asked questions
How many reminders should I send before it looks aggressive?
A common pattern is a gentle nudge a few days after the due date, a firmer note a week later, then a personal message rather than an automated one. The tools let you set the schedule, so decide where automation stops and you take over, and keep the wording plain and factual.
Can I chase failed card payments the same way as unpaid invoices?
They need different handling. A failed card charge is usually a technical decline, so the fix is automatic retries and a way for the customer to update their card, which is what Stripe Billing provides. An unpaid invoice is a human oversight, so the fix is a reminder schedule from your invoicing tool.
Is a free tool enough for automated reminders?
It can be. Zoho Invoice includes automated payment reminders for free within its limits, and FreshBooks includes them on every paid plan. Wave is the exception to watch, since its automated late payment reminders sit on the Pro plan at $19 per month rather than on the free Starter plan.
Will automating this damage the client relationship?
Usually the opposite. Reminders that arrive on a predictable schedule read as process rather than as personal pressure, and they remove the awkward silence where you avoid the topic. The relationship risk comes from tone and from chasing someone who has already told you when they will pay, not from the reminder itself.
