Send invoices and get paid online

Invoices are built by hand in a document, sent as a PDF and paid by manual transfer, which is slow and easy to get wrong.

The problem

Most small businesses start invoicing the same way: a template in a word processor, last month's invoice copied and edited, a PDF attached to an email. It works, right up until it does not. The invoice number gets duplicated, the tax line is wrong for one client, a payment arrives without a reference and nobody can match it, and at the end of the quarter you rebuild the whole picture from your bank statement.

The slower cost is the payment itself. If getting paid requires the customer to open a PDF, copy an account number and log into their bank, you have added friction to the one action you want to be effortless. Every extra step is another day of waiting, and the delay is not usually refusal, it is inertia.

What AI can actually do here

Be clear about what this category is: mostly reliable automation, with some intelligence at the edges. The value is in the plumbing. An invoicing tool keeps your numbering sequential, applies the right tax settings, stores what you sent to whom, and puts a pay-now button on the invoice so the customer can settle it by card or bank transfer from the document itself. Recurring invoices go out on a schedule without you remembering, and reminders chase without you writing the email.

The parts that lean on automation with a smarter layer are transaction matching and categorization: when your bank feed is connected, incoming payments get matched to open invoices and expenses get sorted into categories, with you correcting the exceptions. That correction loop is real work in the first weeks and small afterwards.

What none of this does is decide your prices, negotiate terms, or make a client who is out of money pay you. Tools remove the delay caused by friction and forgetting, which is most of it, but not the delay caused by an unwilling customer.

How the tools differ

Zoho Invoice is free, with limits of 2 users, 3 projects and 500 invoices per year, and still includes quotes, recurring invoices, payment reminders, timesheets and a customer portal. For a freelancer under those limits it is the shortest path from nothing to professional invoicing.

Wave is also free at the Starter level, with unlimited estimates, invoices, bills and bookkeeping records, and it thinks like a bookkeeping product rather than a billing app. The trade is that automated late payment reminders and automatic bank import sit on Pro at $19 per month or $190 per year, and online card payments cost 2.9% + $0.60 per transaction.

FreshBooks is the paid option and is priced by billable client: Lite $23 per month for 5 clients, Plus $43 for 50, Premium $70 for unlimited. What you buy is the connected path from tracked time and expenses to an invoice, which matters if you bill hours and currently retype them. If you do not bill by time, that advantage mostly disappears. FreshBooks vs Wave goes deeper on that choice.

When you don't need a tool

If you send two or three invoices a month to long-standing clients who pay on time, your document template is not costing you anything and a new subscription will not speed it up. Fix the sequence and the payment details instead, and revisit when volume grows.

If your real problem is late payment rather than invoice creation, the fix is a policy before it is a product: clear terms on the invoice, a due date, and a reminder schedule you follow. Tools automate that schedule, they do not invent it.

And if you are choosing between free options, take the free one seriously. Zoho Invoice and Wave both do the core job at no cost, and the honest reason to pay is a specific need such as time-based billing or unlimited users, not the feeling that paid must be better.

An example

I waste hours every week going back and forth to schedule client calls.
You don't need a big system for this. There's an easier tool for this: Calendly. On the free plan you share one link and clients pick a slot that syncs with your calendar. Paid starts at $10/user/mo, but you likely won't need it.

Frequently asked questions

Do I need accounting software as well as an invoicing tool?

Not necessarily. Wave includes bookkeeping records alongside invoicing on its free Starter plan, so for a small business the two jobs can live in one place. If your accountant asks for something Wave cannot produce, that is the moment to look at dedicated accounting software rather than before.

What does it cost to let customers pay by card?

The software can be free while the payment is not. Wave charges 2.9% + $0.60 per credit card transaction, and on its Pro plan 2.9% + $0 for the first 10 transactions each month. Other tools route payments through a gateway that charges its own rate, so budget the processing fee separately from the subscription.

How long does it take to switch from my current template?

The setup itself is short: business details, tax settings, logo, one test invoice. The part that takes longer is entering existing clients and any open invoices, so pick a natural break like the start of a month and run the first cycle in the new tool end to end before you retire the template.

Can I stay on a free plan permanently?

Often yes. Zoho Invoice is free within limits of 2 users, 3 projects and 500 invoices per year, and Wave Starter is free with unlimited invoices and bookkeeping records. The usual reasons to leave are a third user, time-based billing, or wanting automated reminders and bank import, which sit on Wave Pro.
