What it is
ClickUp is an attempt to put the whole working surface in one place: tasks, documents, goals, whiteboards, dashboards and time tracking, in a single workspace. The pitch is consolidation, replacing a task tool plus a docs tool plus a spreadsheet with one subscription.
The free plan is unusually generous on the axis that normally forces upgrades: unlimited tasks and unlimited members, with 60MB of storage, kanban boards, calendar view, collaborative docs and one form. Paid plans add unlimited storage and integrations, Gantt charts, custom fields, time tracking, advanced dashboards and automations, 5,000 per month on Business. AI is sold separately, with Brain AI at $9 per user per month for the assistant, AI writing and enterprise search, and Everything AI at $28.
Who it's for (and who it isn't)
It fits teams that are currently paying for three or four tools and would rather pay for one, and who have the patience to configure it. If your docs live in one product, your tasks in another, and your dashboards in a spreadsheet, the consolidation argument is genuine.
It is a weaker fit for teams that want a small tool that does one thing well. ClickUp's surface area is large, and large surface area means more settings, more ways to build something confusing, and a steeper first week. If a board and a list is what you need, Trello will get you there faster and stay out of the way.
Pricing
ClickUp is freemium. Free Forever includes unlimited tasks and members with 60MB of storage, one form, kanban and calendar views, collaborative docs, two-factor authentication and 24/7 support. Unlimited is $7 per user per month billed annually and adds unlimited storage and integrations, Gantt charts, custom fields and time tracking. Business is $12 per user per month billed annually and adds advanced dashboards, webhooks, 5,000 automations per month, mind maps and private whiteboards. Enterprise is custom priced.
AI is a separate line: Brain AI is $9 per user per month, Everything AI is $28 per user per month, and AI Super Credits are sold on top. Budget the AI add-on deliberately, because on a per-user basis it can cost more than the plan it sits on.
Set it up
Official guide: Set up your individual Workspace
- Decide which real work you will move in first. Create a ClickUp account on the Free Forever plan, which has unlimited tasks and members. Your account now comes with a Workspace, the one place where all your work lives.
- Click "Home" in the left navigation bar. In the Home Sidebar, click the plus icon in the upper right and select "Space". A Space is one area for one kind of work, such as "Client work". Type a name and click "Continue". Keep the default choices, because you can change them later. Click "Create Space". You now see your Space in the sidebar.
- Hover over your Space in the sidebar, click its plus icon and select "List". A List holds tasks of a similar type, such as all jobs for one client. Type a name and click "Create". You now see your empty List.
- Click "Add task" in the upper-right corner of the List and type a task name. Click the avatar icon to pick who does the work, and click the calendar icon to set a due date. Click "Create Task". Repeat for each task your team has now. You now see your tasks in the List, each with a person and a date.
- Pick one document your team really opens, such as a checklist or a process. In the toolbar in the upper-right corner, click "Create Task", select "Doc", and click "Create Doc". Paste your text into the new Doc. On Free Forever, everyone in your Workspace can see it. The Doc saves by itself and now appears in Docs Hub, the place where ClickUp keeps all your Docs.
When this works, you have a Space with a List of your real tasks, each with an owner and a due date, plus one document your team can open inside ClickUp.
Strengths and limitations
The strength is coverage per euro. Unlimited tasks and members on the free plan, and $7 per user for unlimited storage and integrations, is a lot of tooling for the money, especially if it lets you cancel two other subscriptions.
The limitations are complexity and the AI split. The tool can do so much that teams over-build in the first week and then avoid what they built. Storage on the free plan is 60MB, which is a real constraint for anyone attaching files. Automation volume is capped per plan. And the AI features that appear throughout the marketing sit behind a separate subscription, so compare the true total against monday.com rather than plan against plan. See monday.com vs ClickUp.
